Kristina Haslund manages her father’s busy cosmetic dentistry practice. She explained that their DentalPro software program is at the heart of managing the business and that it had been crashing several times a day interrupting work and having to restart the computers to get it working again.
It had been some time since she last had anyone look at their systems, but Kristina was ready to do what it took to solve the problem, having reached her tolerance threshold. We discussed how the existing computers were being used so we could consider all issues while resolving the DentalPro stability issue. She also said they wanted to play music through the computers and they were encountering a variety of problems with computers still running Windows 95 and Windows 98. Finally, she added that she didn’t know how well protected their systems were, but we should take a look at that too.
After getting a good understanding of the network environment and capabilities of the computers we put together a proposal on how to solve all of the issues including hardware, software and the step-by-step process for the big upgrade so she could see the process from start to finish. By setting up DentalPro on a new Windows 2000 server, rather than running it from a user’s desktop, and migrating from a workgroup to a domain, we improved security in several ways, added new functionality and fixed the reliability problem with DentalPro, We saved money on the server by placing a custom order for just what we needed the system to have and a promotional discount as well. With the DentalPro problem solved, we turned to upgrading the desktops from Windows 98 to XP. Again, we improved security and added a whole lot more functionality. Kristina was thrilled with the way XP handled music and the new features for digital photos too. With the desktops upgraded and DentalPro working like it should, they were in control of their business again with fast and reliable access to patient information, which made everyone happier. Finally, we set up centralized automatically updating anti-virus software that would keep everyone out of trouble and we configured the firewall for the new domain and set new secure passwords since the old ones were only known by the last support person who never wrote them down.
To keep Kristina in control of her newly revitalized network, we documented her systems, network configuration, essential maintenance routines and the contact info for the various vendors of the hardware, software and services she uses. Now she could maintain her systems with minimal administration and everything she needs to know about her network is organized on one sheet of paper. Since we now knew the network, the people in the office and how they use their computers, when Kristina does need help, we are ready to respond quickly to any new issues that arise and resolve them for the lease expense.
